Project Overview

BlueAsset Wealth South Africa required a structured GoHighLevel CRM system to manage leads from initial enquiry through adviser assignment, meeting booking, onboarding, KYC verification, funding and final closure.

 

The project involved building a complete CRM foundation, configuring adviser access and calendars, creating lead-capture processes, and developing automated workflows for each stage of the customer journey.

 

The objective was to reduce manual administration, improve adviser response times, maintain consistent customer communication, and provide clear visibility across the entire lead and onboarding pipeline.

Lead Capture and Adviser Assignment 

Two separate lead-capture processes were created:

General Lead Intake

General enquiries are captured, added to the CRM pipeline and distributed among available advisers using equal assignment.

 

 

Referral Lead Intake

 

Referral leads are routed directly to the adviser selected in the internal referral form.

 

First Contact

 

Creates adviser tasks and notifications when an opportunity reaches the First Contact stage.

 

No Response Follow-Up

 

Sends timed follow-up messages while checking whether the lead is still awaiting a response.

 

 

Customer Replied

Stops the no-response sequence immediately after a customer replies.

 

Meeting Booking

 

Updates meeting status, removes unnecessary follow-ups and sends appointment reminders.

 

 

Meeting Outcome

Routes the customer to onboarding, follow-up or Closed Lost based on the adviser’s selected outcome.

 

KYC Verification Follow-Up

The KYC workflow manages customer communication, status tracking and internal notifications after an opportunity enters the KYC Verification stage.

The workflow supports:

  • Pending Documents
  • Submitted for Review
  • More Information Required
  • On Hold / Manual Review
  • Verified

When KYC is verified, the opportunity automatically moves to the Activation and Funding stage.

Important Note

The automation tracks and communicates the KYC process. The actual identity verification and compliance approval remain the responsibility of the authorised adviser, compliance team or approved KYC provider.

 

Activation and Funding Follow-Up

The funding workflow begins after KYC verification and tracks the customer through the final activation and funding process.

 

It handles:

  • Instructions Sent
  • Pending
  • Partially Funded
  • Funds Received
  • On Hold / Manual Review
  • Cancelled

When funds are received, the opportunity moves to Closed Won and is marked as Won.

When the funding process is cancelled, the opportunity moves to Closed Lost and is marked as Lost.

 

Workflow Testing and Validation

The workflows were tested using controlled contact and opportunity records.

The testing confirmed:

  • Workflow triggers executed correctly
  • Contacts and opportunities were updated successfully
  • Adviser assignment worked correctly
  • Internal notifications were delivered
  • Customer emails were sent
  • Tags and custom fields were updated
  • Wait conditions and execution windows functioned correctly
  • Assigned and unassigned contact paths were handled
  • Pipeline stages changed as expected
  • Closed Won and Closed Lost outcomes worked correctly
